Reducing Year-End Stocktake Costs: Flexible Use of Software and Handheld Mobile Computers
Why Does an Annual Stocktake Generate Such High Costs in Retail?
Dublin, 15.09.2026 (PresseBox) - An annual stocktake can tie up a large share of a store’s resources on a single day. Sales areas may need to be closed temporarily, employees are taken away from their day-to-day duties, and many retailers also bring in external counting providers. This is where some of the largest cost drivers arise: travel expenses and daily rates for external staff, familiarisation with the store and warehouse layout, and subsequent rework when counting accuracy is insufficient.
There is also an often underestimated factor: external counters are usually unfamiliar with the logic of the product range and with special cases such as returnable deposit items, opened packaging units or outdoor storage areas. In-house employees already understand these aspects from their daily work. If the main missing element is suitable technology, carrying out the stocktake internally can therefore be a more cost-effective option, particularly for smaller sales areas of around 200 to 300 square metres.
How Can a Digital Stocktake Be Implemented Without Purchasing Devices?
Large numbers of handheld mobile computers may only be required once a year and otherwise remain unused for most of the year. Renting devices for the stocktaking period is therefore often the more economical approach. Maintenance and repair requirements can also be reduced when devices are rented specifically for the stocktaking period.
What Role Does Master Data Play in Stocktaking Costs?
Few things slow down a stocktake more than an item the device cannot identify. Every unmatched item must later be checked, assigned to the correct record and, where necessary, corrected manually. Across large item volumes, this can result in substantial additional back-office work.
A well-prepared item master containing EANs, descriptions, units of measure and packaging information, by contrast, supports a smoother scanning process. In practice, this means extracting master data from the ERP system at an early stage, checking for duplicates and reviewing obsolete records before the stocktaking date.
Historical stock and movement data can also help identify records that require closer review, for example items that have shown no movement across several periods.
How Can Multi-Store Retailers Maintain an Overview Across Several Locations?
As soon as several stores count in parallel, central management becomes a key factor in keeping the process on schedule. A multi-site dashboard in COSYS WebDesk shows counting status by location, counting area and counting stage. The stocktaking management team can see in near real time which stores are falling behind and reallocate staff or devices before delays affect the overall schedule.
Automated plausibility checks can also help identify quantity and value outliers while counting is still in progress. Recounts can therefore be initiated while the teams are still on site rather than several days later. The completed results can then be exported in the structure required by the ERP system, reducing the need for manual preparation.
What Does AI Add to Stocktaking Analysis in Practice?
An AI chatbot with access to actual stocktaking data can reduce the need to search through export lists manually. Questions such as “Which counting areas in Store 12 differ from the expected stock level by more than ten per cent?” or “Where did the second count correct the result of the initial count?” can be answered in natural language, depending on the available data and system configuration.
Across several stocktaking periods, analysis can also reveal patterns such as product groups with recurring discrepancies, counting areas with unusually long processing times or locations where preparation regularly takes longer than expected. These insights can then be used to improve planning for the next fixed-date stocktake and reduce avoidable effort.
Practical Tip
Before accepting the next quotation from an external counting provider, compare the costs for one representative store. On one side, include the provider’s daily rate, travel expenses and coordination effort. On the other, calculate rental devices, software and any additional personnel costs for your own team.
This comparison provides a more realistic basis for deciding whether outsourcing or an internally managed stocktake is the more economical option for a particular store.
