Prague, 03.09.2026 (PresseBox) - Fixed-date stocktaking in retail rarely takes place under ideal network conditions. DIY stores, builders’ merchants and furniture retailers in particular often have extensive sales areas, high-bay shelving, large halls, outdoor storage areas, garden centres, collection zones or separate warehouse buildings. Wi-Fi coverage is often inconsistent across these environments. For mobile stock capture, however, a loss of connectivity must not result in staff having to wait, skip counting areas or capture the same data again.

The key requirement is therefore not a permanently available wireless connection, but a stocktaking process that continues to operate reliably during temporary connectivity interruptions. Mobile applications should be able to process stock and counting data locally on the device and synchronise it with the central system as soon as a connection becomes available again.

Why Wi-Fi Gaps Are Particularly Critical During Stocktaking

In conventional retail environments, gaps in wireless coverage can often be reduced by adding access points. In builders’ merchants or DIY stores, the situation is more challenging. Metal shelving, solid building structures, large halls, outdoor areas and changing stock levels can all affect wireless coverage. Furniture retailers also have separate showroom, collection and warehouse areas to consider.

If a stocktaking app depends entirely on an online connection, these environments can create unnecessary interruptions. Employees may have to wait for connectivity, move to another counting area or temporarily record quantities manually. This increases process interruptions, rework and the risk of duplicate counts. During retail stocktaking in particular, every delay can affect staffing requirements, opening hours and the planned completion of the stock count.

Offline-Capable Data Capture Separates Counting from Synchronisation

A robust approach is to separate the actual scanning process from permanent network access. This allows prepared count lists and master data to be transferred to the device, stock to be recorded without Wi-Fi and the captured data to be transmitted to the backend later.

In practice, this means that an employee can, for example, complete an entire defined counting area in the outdoor storage section of a builders’ merchant even without continuous Wi-Fi coverage. As soon as the device reaches a designated synchronisation point, the data can be transferred. In the central COSYS WebDesk, tasks, count lists and results can then be reviewed and processed, and depending on the system environment, transferred to the ERP system.

Counting Areas and Master Data Matter More Than Full Wi-Fi Coverage

Offline capability alone does not prevent stocktaking errors. Organisational preparation remains essential. Counting areas should be clearly defined, assigned to employees and easy to identify on the devices. Particularly with palletised goods, long rows of shelving, garden products or furniture with multiple variants, it must always be clear which areas have already been completed.

Up-to-date item master data is equally important. If EANs, item numbers, units of measure or variant information are missing, the source of errors simply shifts from connectivity to subsequent processing. A well-prepared fixed-date stocktake therefore combines local data capture with clearly structured counting areas, reliable master data and controlled synchronisation points.

A Stocktaking Service Is More Than Just an App

For annual fixed-date stocktaking, maintaining a large in-house fleet of handheld mobile computers is often not economical. Practical Tip: Identify Wi-Fi Gaps Before the Stocktaking Day

Before the stocktaking day, the aim should not necessarily be to provide temporary Wi-Fi coverage in every corner of the site. A more practical approach is to carry out a test run with an actual handheld device along the planned counting route. Offline zones, reliable synchronisation points and critical transitions between the sales floor, warehouse and outdoor areas can then be identified in advance.

This turns limited network coverage into a manageable process factor rather than a stocktaking risk.
