Yet arrival at the building is only the first stage of the delivery. Each item still has to be assigned to the correct employee, department or site and handed over successfully.
If the recipient is working remotely, attending a meeting or based elsewhere that day, the delivery remains incomplete. Without a structured process for these exceptions, parcels are returned to the mailroom, stored temporarily or added to another delivery round. This creates extra work and makes it harder to identify their current location.

A failed handover should never leave the status unclear

Depending on the configuration, the recipient can open the allocated compartment using a PIN, QR code, NFC or an employee ID card. Most importantly, another delivery attempt is no longer necessary. Employees can collect their parcels when they are back on site and at a time that fits their working schedule.

When a parcel is deposited, the software links the shipment, locker compartment and authorised recipient. The system records when the item was made available and when the compartment was opened.
This digital shipment history covers the entire process, from goods receipt and the failed delivery attempt to final collection. If a question arises, the mailroom can check the relevant status and events without searching through handwritten notes or paper-based handover lists.
The result is a clear chain of custody, even though the final handover takes place without a member of the mailroom team being present.
